Planning Lists

Planning lists define the labels your team uses for tasks, event stages, and files across LiftOff and AI output.

When to use this page

Match LiftOff to your company's language instead of generic defaults.

Who can do this

Owners and admins manage planning lists. All members use the lists when creating tasks, updating project stages, and labelling files.

Open Planning Lists

Go to Settings → Planning lists (or Settings → Planning defaults → Planning lists).

Three tabs are available:

Task categories

Group tasks by type, such as Production, Setup, Teardown, or Admin.

  • Add, rename, reorder, or deactivate categories
  • AI task suggestions use active categories

Event stages

Describe where a project sits in your sales and production pipeline, such as Inquiry, Booked, Planning, or Completed.

  • Stages appear in planning language and AI prompts
  • Project status (planning, active, completed, archived) is separate from stage labels

File labels

Label uploads such as mockup, recipe, note, or render.

  • Members pick labels when uploading
  • Deactivated labels remain on old files but hide from new uploads

Edit lists safely

  • Prefer deactivate over delete when old projects still use a label or category.
  • Reorder lists to match how your team thinks about work.
  • After changes, tell your team so task and file habits stay aligned.
