Creating a Project
Create a project when you start planning a new event or production. A project holds the event details, client, schedule, team, tasks, notes, and files in one place.
See the walkthrough: Creating a Project for a screenshot-led tour.
When to use this page
Use project creation when a new event enters your pipeline, from first inquiry through confirmed booking.
Who can do this
Owners, admins, and members can create projects. Project guests cannot create projects.
Ways to create a project
Quick Add (fastest)
- Click Quick Add from the top of the app (desktop or mobile).
- Fill in the project form: title, client, dates, location, and other details.
- Save the project.
Use Quick Add when you already know the basics and want to get the project into LiftOff quickly.
New project page
- Go to Projects.
- Select New project.
- Complete the full creation form.
- Save the project.
Create from photos or documents (AI-assisted)
When you have a brief, sketch, inspiration board, or PDF:
- Start a new project or use Quick Add.
- Choose the option to draft from images or uploads.
- Add up to six photos or files.
- Wait while LiftOff reads visible details.
- Review the draft fields before saving.
LiftOff may suggest client contact details, schedule timing, and a trailer recommendation when that information appears in your uploads. Always verify before sharing with clients.
After saving, you may see a Project review step to approve suggested tasks and schedule blocks. See Project Review.
What to include when creating a project
| Field | Why it helps |
|---|---|
| Title | How your team identifies the event |
| Client | Links the project to your client directory |
| Event date | Powers calendar views and sorting |
| Location | Venue address for crew and logistics |
| Setup, event, and teardown times | Builds timeline and schedule blocks |
| Team members | Shows who is assigned to the project |
| Summary and theme | Gives context for reports and AI features |
Next steps
- Open the project to add tasks, notes, and files.
- Review suggested tasks if LiftOff proposed any.
- Set up Email to Project to forward vendor mail into the project.
Good to know
- AI drafts reflect what is visible in your uploads. They may miss or misread details.
- Schedule blocks may be generated automatically based on your Schedule Settings.
- Projects start in an active planning state; you can update status as the event progresses.
