What is LiftOff?
LiftOff is a team workspace for planning and running productions and events. See What is LiftOff?.
Who is LiftOff for?
Production managers, agencies, and event teams who need one place for projects, tasks, notes, files, schedules, inventory, and client details.
Where is the app?
Sign in at liftoff.productionsandevents.com.
Is my data public?
No. LiftOff requires sign-in. This documentation site is public, but your project data stays in your authenticated workspace.
Access and roles
Who can sign in?
People invited to your company workspace with an active account.
What roles exist?
Owner, Admin, and Member for full workspace access. Project guests have access to specific projects only. See Roles and Permissions.
How do I invite someone?
Owners and admins invite from Settings → Team & Access. See Inviting Users.
How do I invite a project guest?
Open the project, then Manage project guests from the overflow menu. Enter an email and select Send invite. See Project Guests.
I belong to more than one company
After sign-in, choose the workspace on the Choose company page. See Switching Companies.
Projects
How do I create a project?
Use Quick Add, Projects → New project, or create from photos. See Creating a Project.
Can I delete a project right away?
No. Archive it first. Only owners and admins can permanently delete archived projects. See Deleting Projects.
Can I forward email into a project?
Yes. Enable Email to Project on the project overview. See Email to Project.
Tasks and calendar
How do suggested tasks work?
LiftOff proposes tasks; you review and accept the ones you want. See Suggested Tasks.
Is there a task board?
Yes. Open Tasks and switch to Board view. See Using the Task Board.
Where is the calendar?
Select Calendar in the main navigation. See Using the Calendar.
Inventory
Where is the inventory catalog?
Select Inventory in the desktop sidebar, or More → Inventory on mobile. See Inventory Overview.
What are catalog gaps?
Requirements on a project that do not yet match a catalog item. Resolve them from the project Inventory section. See Matching and Catalog Gaps.
Notes and files
Can I attach files to notes?
Yes. See Note Attachments.
What are file labels?
Labels like mockup, recipe, note, and render help organise uploads. Your company can customise them in Planning Lists.
AI features
How do AI summaries work?
LiftOff drafts text from project context; review before sharing. See Project Summaries.
What are AI renders?
Concept images generated from your mockups or photos. See Generating AI Renders.
Should I trust AI output?
Always review AI content before client use. See AI Best Practices.
Reports and notifications
How do project reports work?
Generate a report from the project header, choose sections, preview, then download PDF or print. See Generating Reports.
How do I change email notifications?
Personal preferences: Account. Company defaults: Settings → Notification defaults (admins). See Notification Settings.
Billing and setup
Where do I manage billing?
Owners and admins open Settings → Billing. See Billing.
What is the setup checklist?

What is the background tasks indicator?
When AI or report jobs run in the background, LiftOff may show a progress indicator in the app shell. If a job fails, refresh the project and retry, or see Troubleshooting.
Administration
Where are company settings?
Open Settings for account, company profile, billing, planning lists, schedule, reports, notifications, email templates, and AI. See App Navigation.
What is the difference between project activity and audit history?
Project activity is per-project updates for the team. Audit history is a workspace admin log. See Project Activity and Audit History.
