Albums
Albums help your team save photos and videos from a completed event inside the project. Use albums to keep a visual record of the final setup, capture useful reference photos for future events, and share a polished gallery with your client.
Albums now have their own dedicated workspace. From the project page, use the Album card to open the album, upload media, or manage sharing. The full album page gives your team more room to review photos and videos, make edits, delete media, and prepare the album before sharing it with a client.
What this is for
Use an album when you want to:
- Save setup photos and event videos in the project after the event
- Keep a permanent visual record for your team
- Share finished event media with a client through a simple link
- Avoid mixing album gallery files with planning documents and AI source files
Who can do this
Anyone who can view the project can open the album from the project page or the dedicated album page.
Owners, admins, and project members with edit access can upload, rename, caption, delete, reorder, and manage client sharing from the album page.
Project guests cannot enable or manage client share links.
Open the album workspace
- Open the project.
- In the Overview section, find the Album card.
- Click Open Album to go to the dedicated album page.
The album page is where your team uploads, reviews, edits, deletes, and organizes event media.
How to upload photos and videos
From the project page:
- Click Upload Media on the Album card.
- LiftOff opens the album page and focuses the upload area.
From the album page:
- Click Upload Media, drag files into the upload area, or click Select files.
- Wait for each file to finish uploading. Failed files can be retried without stopping the rest of the queue.
- Open a thumbnail to preview photos or play videos.
The album is intended for event photos and videos after setup, but your team can start uploading before the project is marked completed if that is helpful.
Supported file types and limits

Organize the gallery
On the album page:
- Click the edit action on a tile to rename a file or add a caption.
- Drag tiles to reorder the gallery on desktop.
- Delete files you no longer want in the album.
Share a client-facing album link
Quick actions from the project page:
- On the Album card, click Share Album or Copy share link when sharing is already enabled.
- Use Manage sharing to open the full sharing controls on the album page.
Full sharing controls on the album page:
- Find Client share link.
- Click Enable sharing.
- Click Copy share link and send it to your client.
- Use Open shared album to preview what the client will see.
You can turn sharing off at any time. If a link was shared by mistake, click Disable sharing or Regenerate link.
Download permission
Use Allow clients to download media when you want clients to save files from the shared page. Leave it off if you only want them to view the gallery in the browser.
What the client can see
Client album links open a separate public album page. They only show approved album media and do not expose internal project planning details.
Clients can see:
- Your company name and logo (when configured)
- The project or event name
- The event date
- The album gallery
Clients cannot see:
- Internal notes
- Tasks
- General project files outside the album
- Team activity
- AI-generated planning content
- Upload, edit, delete, or reorder controls
Client album links only show approved album media. They do not expose internal project planning details.
Privacy expectations
- Share links use secure, unguessable tokens.
- Disable or regenerate a link if it was sent to the wrong person.
- Album media is stored separately from general project files used for reports and AI planning.
What happens next
Uploaded album media stays attached to the project as a historical record. Your team can return to the gallery later for reference photos, portfolio examples, or follow-up conversations with the client.
Notes and limitations
- Album media is not automatically included in generated reports or AI project tools.
- Very large batches may take a few minutes to upload depending on connection speed.
- Video thumbnails may show a simple preview card until server-side thumbnail generation is added.
