Generating Reports

Reports turn project details into a clean document your team can review, save, print, or share. Use reports for internal handoffs, setup checklists, client summaries, and post-event records.

When to use this page

Generate a report when you need a polished snapshot of the project instead of asking the team to open every task, note, file, and schedule item one by one.

Who can do this

Owners, admins, members, and project users with report access can generate reports for projects they can view. Some sharing options may only appear for owners and admins.

Start a report

  1. Open the project.
  2. Go to Reports or choose Generate report from the project actions.
  3. Pick the report type and audience.
  4. Choose the sections, files, and layout you want to include.
  5. Preview the report.
  6. Generate the PDF when the preview looks right.

Common sections

Depending on the report type, you can include:

  • Project overview
  • Event and venue details
  • Client information
  • Summary
  • Tasks
  • Notes
  • Files and photos
  • Setup instructions
  • Materials or services
  • Trailer recommendation
  • Activity history
  • Next steps or completion notes

Optional AI-written sections

Some reports can include AI-written sections, such as a polished summary, setup brief, materials summary, missing details, or day-of instructions.

AI-written sections are labelled in the preview and PDF. Review them carefully before sharing the report.

File display options

Choose how files appear in the report:

Download, print, or share

When the report is ready, you can usually:

  • Download PDF: save the official polished report (may run as a background job for large reports)
  • Print report: open the browser print dialog for a quick paper copy without waiting for PDF generation
  • Save to project files: keep the report with the project record
  • Email to client: send the completed PDF when your role allows it
  1. Generate or preview the report first so sections look correct.
  2. Choose Print report from the report actions.
  3. Use your browser print settings to hide headers or adjust margins if needed.
  4. For client-facing output, prefer Download PDF when you need consistent branding.

Confirm client details before emailing a report.

Good to know

  • Reports are only as complete as the project data selected for the report.
  • AI sections do not replace review by the project lead.
  • If report generation fails, try again with fewer files or turn off optional AI sections.
